CompanyGPT vs. Google Gemini: AI in Workspace or in Your Own Tenant?

Anyone using Google Workspace has had Gemini included in many editions since early 2025, with no additional licence. That is convenient and, for many use cases, entirely sufficient.

This page helps with two questions that regularly cause confusion in projects: Which Gemini product is actually meant? And: What exactly does an EU data region tell you?

First things first: three products, one name

Google has restructured its offering several times, and the terms get mixed up in the market. For a clean decision, the distinction is worth making:

So when “Gemini Enterprise” comes up in a conversation, it is worth asking which of the three is meant — the answers on data residency and cost differ.

The point that matters: storage is not processing

Google offers data regions, and according to its documentation these cover both data at rest and processing. The decisive catch lies in availability:

Data regions for data at rest are available in many editions. The option to also bind processing to the chosen region, by contrast, is limited to particular editions — Frontline Plus, Enterprise Plus and Enterprise Essentials Plus. For Gemini features specifically, data regions were only added in June 2025 and are aimed at Enterprise Plus customers as well as the Assured Controls add-ons.

So anyone using a Business Standard edition and assuming that this covers EU processing is, according to Google’s documentation, mistaken.

Google also states a limitation worth knowing: some Workspace features rely on services that process data globally. And logs as well as cached content are, per the documentation, explicitly not covered by data regions.

The trade-off Google documents openly

This is the most honest and at the same time the most important point on this page, and it comes from Google’s own documentation.

In the advanced settings for data regions, administrators can choose whether features that process data across multiple regions should be allowed. The option “enable features that may process data across multiple regions” is switched on by default.

If you switch it off in order to enforce EU processing, features are lost according to Google’s documentation — among them image generation and editing, audio and podcast creation, and Deep Research.

So there is a documented trade-off between the full range of features and strict EU processing. That is not a criticism of Google — it is a decision you should make deliberately rather than inherit through a default setting.

Google additionally points out that the file-sharing and data-region settings do not apply to data in Gemini Notebook.

How CompanyGPT frames the question differently

With CompanyGPT the question is not “which setting allows me which feature?” but “in which tenant and in which region should this run?”. The platform is built inside your own cloud — Azure, Google Cloud or sovereign on STACKIT.

If you want to use Gemini models, that works through your Google Cloud tenant. On the Agent Platform you bind processing to a regional endpoint yourself; for EU and US regions this covers machine learning processing in addition to data residency at rest. Worth knowing: individual features are only available in the global region, for example grounding with Google Search and video generation.

The essential difference is therefore structural rather than technical: you are not setting a policy in someone else’s admin console, you are deciding in your own tenant which endpoint is used.

Comparison table

When Gemini in Workspace is the right choice

• Your company works entirely in Google Workspace, and the benefit lies precisely in Docs, Sheets and Gmail.
• You have no strict requirements on the place of processing — or you have an edition that covers EU processing and can do without the affected features.
• You do not need model variety beyond the Gemini family.
• You do not want to set up your own operations.

When CompanyGPT is the better choice

• When the place of processing has to be documented and you do not want to make it dependent on an edition tier.
• When you need the full range of features and EU processing at the same time — through model choice per use case instead of a global policy.
• When Microsoft 365 is also in the house and the knowledge base has to mirror SharePoint permissions.
• When you want to run several model families in parallel.
• When automation via n8n and MCP is to be brought into business processes.

Conclusion

Gemini in Workspace is a strong offering for organisations already working with Google — and since the add-on licences were dropped, an economically attractive one too.

Two points deserve a closer look: which of the three Gemini products is actually meant, and whether your own edition covers EU processing or only storage. And anyone enforcing strict EU processing should know which features are lost in the process according to Google.
